Tuning Your Toolbars - Microsoft Word & Excel

 

Word and Excel come with a large selection of toolbars, all designed for different functions.

Go to your <View> menu in either program, and single-click it with the left mouse button.

Hover the mouse pointer over <Toolbars> and you'll see a long list of different toolbars you can select by single clicking them open.

It's a great selection, but if your favorite features are spread out over five or six different toolbars, and they're all open, you've hardly got room to type. And switching back and forth between toolbars can really slow you down.

The solution? Make a new toolbar with all the features you want on it and use that instead of the others.

To start, single-click the <Tools> menu at the top of either Excel or Word.

Now single-click on the <Customize> option.

The <Customize> window opens. You'll see a long list of toolbars. Active toolbars have a little check mark to their immediate left.

You want to create a new toolbar, so single-click on the <New> button.

The <New Toolbar> window opens. Type in a name for your new toolbar in the <Toolbar Name> box.

Beneath the <Toolbar Name> box is another box labeled <Make toolbar available to:>.

It has a scrollbar down the right side. This lists all Word documents currently open.

If you want the toolbar to only appear with a specific document, single-click on the name of the document.

If you want the toolbar to apply to all documents, single-click on the <Normal> setting. Then single-click on .

Your new toolbar will now be listed in the <Customize> toolbar list, with a little check mark to its left to indicate that it is active.

The toolbar contains nothing at the moment, so single-click on the <Commands> tab in the <Customize> window.

In <Commands>, you'll see two lists. The left hand list is a list of categories of commands.

Single-click on a category, and its contents will appear in the <Commands> list to the right.

Your new toolbar will appear as a small, empty box somewhere on the document page.

To move a command into your toolbar, single-click the command you want in the <Commands> list with the left mouse button. Hold down the left mouse button, and drag the command to your new toolbar.

Release the mouse button when your mouse pointer is over the toolbar, and the command button will appear in the toolbar.

Use the <Categories> list to find the commands you want, and drag commands to the new toolbar until you've added all the commands you need.

When you're finished, single-click on the <Close>> button in the <Customize> window.

Your new toolbar's now ready to go!
