21. Discourage Junk E-Mail

Did you know Outlook 2002 gives you the option to accept or decline to send the reply requested by the sender?

Using this feature you can tell potential spammers that there's "No one at home."

If spammers think your e-mail address is no longer valid, they may remove it from their lists.

22. Outgoing Message Storage

This tip applies to all versions of Outlook.

If you use Outlook to send mail to online services, such as the Microsoft Network or CompuServe, or through an Internet service provider (ISP) you reach by using your telephone line, your outgoing messages are stored in the Outbox until you choose Tools, Send/Receive, All Accounts (or press F5) or click the Send/Receive button on the toolbar.

Your messages are then dispatched to your online service and sent on to your recipient.

Adding the Outlook Address Book to the Word Toolbar

This tip applies to Outlook 2000 and 2002

You can insert an address from your Outlook Contact list into a Word document, such as an invitation to your holiday soiree, by clicking a single button.

Unfortunately, Microsoft didn't put that button on the Word toolbar, so you have to add it.

To add the Address Book button to the Word toolbar, follow these steps:

1. Open MS Word and choose Tools, Customize to open the Customize dialog box.

2. Click the Commands tab to view the list of available commands.

3. Click Insert in the Categories box to reveal the list of Insert commands on the Commands list on the right side of the screen.

4. Scroll down to the words Address Book near the end of the Commands list box.

5. Drag the Address Book icon up to the Word toolbar. The Address Book icon joins the other icons on the toolbar!

24. Remove Outdated Names

As you start typing an e-mail address into the To, Cc, or Bcc boxes of a message, Outlook version 2002 offers a list of names and e-mail addresses that match what you've typed so far.

That way you can choose from the list instead of continuing to type.

You can also use the DELETE key to remove outdated names from the list:

- Use the UP ARROW key or DOWN ARROW key to select the name

- Press DELETE

Only those names/e-mail addresses that you have previously sent e-mail to will appear in the list.

25. Using Multiple Signatures

Outlook version 2002 allows you to add signatures to replies and forwarded messages. You can even choose one signature for new messages and another for replies.

Here's how:

- On the Tools menu, choose Options, and then select the Mail Format tab

- Under Signature, choose Signature for new messages drop-down menu, and then select the signature you want to use

- Choose Signature for replies and forwards drop-down menu, and then select the signature you want to use

- Choose or click on OK.

26. Manage Multiple E-Mail Accounts In Outlook 2002

With Outlook 2002, you can easily access your Web-based e-mail.

Here's how:

- On the Tools menu, click E-mail Accounts
- Click Add a new e-mail account, and then click Next
- Click HTTP, and then click Next
- Add your e-mail account information, and then click Next
- Click Finish to set up your account.

27. Return Meeting Responses

Most administrative assistants have permission to send meeting requests from their bosses' accounts but sometimes, responses to those meeting requests end up in their bosses' mailboxes.

Here's a way to return responses to the administrative assistant:

You can grant someone permission to send e-mail requests for you by using the Delegate Access feature:

- On the Tools menu, click Options, click the Delegates tab, and then click the Add button. With that done, it's easy to specify that responses be returned to that person as a delegate

To return responses to delegates:

- On the Tools menu, click Options, and then click the Delegates tab
- Select the Send meeting requests and responses only to my delegates, not to me.
